Quality and Compliance Specialist

We are seeking a highly motivated and detail-oriented Quality and Compliance Specialist to join our dynamic team. This pivotal role is responsible for the comprehensive management, implementation, and continuous improvement of our critical ISO and Contamination Control (CC) systems, ensuring strict adherence to industry best practices and regulatory standards. The successful candidate will play a crucial role in maintaining our certifications, fostering a culture of quality, and minimizing operational risks across the organization.

Key Outputs and Responsibilities:

  • System Implementation, Training, and Management:
    • Proactive System Compilation and Development: Take lead responsibility for the meticulous compilation, ongoing development, and strategic implementation of all ISO 9001:2015 Quality Management Systems and stringent Contamination Control (CC) protocols. This includes creating comprehensive documentation, standard operating procedures (SOPs), and work instructions.
    • Comprehensive Training Program Development and Delivery: Design, develop, and deliver engaging and effective training programs for all relevant personnel across various departments. This training will cover the intricacies of both ISO and CC systems, ensuring a deep understanding of their principles, individual responsibilities, and the practical application of procedures to maintain compliance and optimize operational performance.
    • Ongoing System Management and Maintenance: Actively manage and maintain the integrity of both ISO and CC systems, performing regular reviews, updates, and ensuring all documentation remains current and accessible. This includes managing document control, record-keeping, and ensuring all system elements are functioning optimally.
  • Corrective and Preventive Action (CAPA) Management:
    • Robust Non-Conformance System Control: Develop, implement, and rigorously control the Corrective and Preventive Non-conformance System. This involves establishing clear procedures for identifying, documenting, investigating, and resolving non-conformities efficiently and effectively.
    • Detailed Reporting and Analysis: Generate comprehensive reports on all non-conformances, identifying root causes, tracking resolution progress, and analyzing trends to prevent recurrence. These reports will be critical for management review and continuous improvement initiatives.
  • System Auditing and Assurance:
    • Scheduled Internal Audits: Conduct periodic, thorough internal audits of both the ISO 9001:2015 Quality Management System and Contamination Control Systems. These audits will assess compliance, identify areas for improvement, and ensure the ongoing effectiveness of our quality and control processes.
    • Pre-Audit Preparation and Support: Proactively prepare the organization for external certification and compliance audits by bodies such as SABS (South African Bureau of Standards) and Caterpillar CC audits. This includes coordinating documentation, facilitating auditor access, and ensuring all relevant personnel are prepared for interviews and demonstrations.
  • Incident Management and Reporting:
    • Accurate Incident and Preventative Action Capturing: Systematically capture and document all incidents, near misses, and the subsequent preventative actions taken to mitigate future risks. This includes maintaining a detailed log and ensuring all relevant information is recorded accurately.
    • Comprehensive Workplace Incident Reporting: Prepare and submit detailed reports on all incidents occurring in the workplace, analyzing causes and recommending actions to enhance safety and prevent recurrence. This includes compliance with all internal and external reporting requirements.
  • Calibration Management:
    • Precision Calibration Schedule Control: Develop, implement, and meticulously control the calibration schedule for all measuring and testing equipment used across the organization. This ensures the accuracy and reliability of all critical equipment and instruments, preventing errors and maintaining product/service quality.
    • Compliance with Calibration Standards: Ensure strict compliance with all internal and external standards and guidelines pertaining to the calibration of measuring and testing equipment.
  • Reporting and Documentation:
    • Comprehensive Audit and Management Review Reports: Compile and present comprehensive reports for all internal and external audits, as well as for periodic Management Review meetings. These reports will provide critical insights into system performance, compliance status, and recommendations for strategic improvements.
  • Compliance and Certification Ownership:
    • ISO 9001:2015 and OHSAS 18001 Adherence: Ensure unwavering compliance with the requirements of the ISO 9001:2015 Quality Management System and OHSAS 18001 (Occupational Health and Safety Assessment Series) standards. This includes understanding the latest revisions and proactively adapting our systems to meet evolving requirements.
    • Non-Conformance Minimization Accountability: Be directly accountable for minimizing the number of non-conformances identified through internal and external audits, driving continuous improvement in quality and operational efficiency.
    • Monthly Quality and OHSAS System Audits: Conduct monthly, in-depth audits of the Quality Management System and OHSAS Systems to proactively identify potential issues, ensure ongoing compliance, and drive a culture of continuous improvement.
    • Caterpillar Contamination Control Guideline Adherence: Guarantee full compliance with the specific Caterpillar Contamination Control guideline (PEBJ 0002-05), demonstrating a deep understanding of its requirements and implementing robust controls to prevent contamination.
    • Regional Certification Responsibility: Take primary responsibility for managing and maintaining all regional certifications, including ISO, CC (Contamination Control), Caterpillar, and any other relevant industry-specific certifications. This involves coordinating audits, managing documentation, and ensuring timely renewals.

Qualification, Experience, and Competencies:

  • Educational Foundation:
    • Grade 12 (Matric) or equivalent qualification.
  • Professional Experience:
    • A minimum of one (1) year of professional experience post-qualification, specifically in a quality assurance, compliance, or similar technical role.
  • Essential Technical Understanding:
    • A basic, yet solid, understanding of ISO quality management systems and Contamination Control systems.
  • Relevant Trade Qualification (Highly Desired):
    • Qualified in a relevant trade, such as a Heavy / Earthmoving Equipment Mechanic, providing practical insight into the operational context and potential sources of non-compliance.
  • Analytical and Problem-Solving Skills:
    • Analysis and Reasoning (L1): Possesses foundational analytical skills, capable of identifying basic patterns, understanding cause-and-effect relationships, and drawing logical conclusions from data.
  • Attention to Detail and Teamwork:
    • Attention to Detail (L1): Demonstrates a keen eye for accuracy and precision, consistently noticing and correcting minor discrepancies.
    • Teamwork (L1): Works cooperatively with others, contributing positively to group efforts and valuing diverse perspectives.

    • Verbal and Written Communication (including Listening) (L2): Able to communicate clearly and concisely, both orally and in writing, tailoring messages appropriately for the audience. Actively listens to understand information and perspectives.
