Full Job Description: Warehouse Operations Specialist
Overview:
We are seeking a highly motivated and detail-oriented Warehouse Operations Specialist to join our dynamic team. Key Outputs & Responsibilities:
The Warehouse Operations Specialist will be held accountable for the following core responsibilities and deliverables:
- Exceeding Daily Warehouse Key Performance Indicators (KPIs): Proactively monitor and strive to surpass established daily warehouse KPIs, including but not limited to, order fulfillment rates, picking accuracy, shipping timeliness, and cycle count accuracy. This involves efficient resource allocation, continuous process improvement, and a commitment to operational excellence. Regular reporting on KPI performance will be required.
- Adherence to Order Type Specifications by Customer: Ensure that all customer orders are processed precisely according to their unique specifications, encompassing product selection, packaging requirements, labeling, and documentation. This requires meticulous attention to detail and a thorough understanding of diverse customer needs to maintain high levels of customer satisfaction and quality standards within defined timeframes.
- Ensuring Safe and Compliant Warehouse Procedures: Uphold the highest standards of safety by meticulously following all established Standard Operating Procedures (SOPs) and compliance regulations. This includes the safe operation of equipment, proper handling of materials, adherence to health and safety guidelines, and active participation in maintaining a secure working environment to prevent accidents and injuries. Regular safety briefings and adherence to company safety protocols are paramount.
- Achieving Warehouse Performance Standards: Consistently execute duties to meet and exceed established warehouse performance benchmarks. This encompasses a broad range of activities such as:
- Maintaining Optimal Parts Stock Levels: Regularly monitor and manage inventory to ensure adequate stock availability for all products, minimizing out-of-stock situations while avoiding excessive inventory. This includes participation in inventory planning and replenishment processes.
- Reducing Stock Loss and Damages: Implement proactive measures to minimize inventory discrepancies, product damage, and shrinkage. This includes careful handling of goods, proper storage techniques, and accurate record-keeping to safeguard company assets.
- Efficient Space Utilization: Contribute to the optimization of warehouse layout and storage practices to maximize space efficiency and accessibility of goods.
- Ensuring Accuracy in Stock Counts, Picking, and Binning: Maintain impeccable accuracy in all inventory-related tasks. This involves precise execution of physical stock counts, error-free order picking to match customer requirements, and accurate binning of products to their designated storage locations. A commitment to “right first time” is essential to prevent costly errors and delays.
- Effective Investigation and Resolution of Stock Discrepancies: Take ownership of investigating and resolving all identified stock discrepancies, regardless of their origin. This requires a systematic approach to root cause analysis, collaboration with relevant teams, and the implementation of robust control measures to prevent recurrence. Detailed documentation of findings and corrective actions is crucial.
- Maintaining Good Housekeeping Standards: Contribute to and uphold exemplary standards of cleanliness, organization, and tidiness throughout the warehouse. A well-organized and clean workspace is vital for safety, efficiency, and a positive working environment. This includes regular cleaning, proper waste disposal, and maintaining clear aisles and work areas.
Qualification, Experience, and Competencies:
To be successful in this role, candidates should possess the following:
- Education: A minimum of a Grade 12 (High School Diploma or equivalent) is required. Further education in logistics or supply chain management is a plus.
- Technical Proficiency:
- Microsoft Excel: Proficiency in Microsoft Excel is a significant advantage, as it will be used for data analysis, reporting, and inventory management tasks.
- SAP & EWM Experience: Hands-on experience with SAP and/or EWM (Extended Warehouse Management) systems is a distinct advantage, demonstrating familiarity with enterprise resource planning and advanced warehouse management software.
- Professional Experience: 1-2 years of proven experience in a warehouse and/or supply chain environment. This experience should ideally include exposure to various warehouse operations such as receiving, put-away, picking, packing, and shipping.
