Vehicle Operations and Customer Support Assistant

This dynamic and hands-on role is critical to ensuring the smooth operation of our vehicle services and providing exceptional support to our valued customers and suppliers. Key Responsibilities and Duties:

  1. Efficient Order Fulfillment and Customer Delivery:
    • Precisely identify and gather customer orders according to specifications.
    • Accurately verify all items against order forms to prevent discrepancies.
    • Prepare orders for dispatch, ensuring all necessary documentation is complete and attached.
    • Facilitate the smooth handover of orders to customers, providing a friendly and professional interaction.
    • Address any immediate customer queries regarding their orders with a helpful and informed approach.
  2. Vehicle Loading, Unloading, and Inventory Management Support:
    • Actively participate in the safe and efficient loading of vehicles with customer orders, ensuring proper weight distribution and securement of goods.
    • Skillfully assist in the offloading of incoming stock, materials, and other goods from delivery vehicles.
    • Utilize appropriate equipment and techniques (e.g., pallet jacks, trolleys, proper lifting methods) to prevent damage to goods and ensure personal safety.
    • Collaborate with warehouse staff to verify incoming shipments against delivery manifests, reporting any discrepancies immediately.
  3. Yard Stock Management and Organization:
    • Diligently pack, unpack, and organize yard stock items according to established inventory procedures and layouts.
    • Ensure all stock is clearly labeled, easily accessible, and stored in a manner that maximizes space and prevents damage.
    • Conduct regular visual inspections of stock for quality control and report any damaged or defective items to supervisors.
    • Maintain a clean and orderly yard area, removing debris, empty packaging, and ensuring clear pathways for vehicles and personnel.
  4. Vehicle Care, Cleaning, and Safekeeping:
    • Execute thorough cleaning and detailing of company vehicles, including washing, waxing, vacuuming, and interior wipe-downs, to maintain a professional appearance.
    • Perform routine checks on vehicle fluid levels (oil, coolant, washer fluid) and tire pressure, reporting any issues or maintenance needs.
    • Ensure all vehicles are securely parked and locked at the end of each shift or when not in use, adhering to company security protocols.
    • Report any damage, malfunctions, or safety concerns related to vehicles promptly to management.
  5. Exceptional Customer and Supplier Assistance:
    • Serve as a primary point of contact for customers and suppliers, offering courteous and effective assistance.
    • Proactively engage with individuals, identifying their needs and directing them to the appropriate department or providing direct support.
    • Assist customers with product inquiries, location of items, and provide general information about services.
    • Facilitate smooth interactions with suppliers during deliveries and collections, ensuring efficient turnaround times.
    • Maintain a helpful and approachable demeanor at all times, reflecting positively on the company.
  6. Comprehensive Wash Bay Operations:
    • Operate and maintain wash bay equipment safely and effectively, including pressure washers, foam cannons, and drying apparatus.
    • Follow established wash bay procedures to ensure consistent quality of vehicle cleaning.
    • Manage and replenish cleaning supplies, ensuring the wash bay remains fully stocked and organized.
    • Adhere to all safety guidelines and environmental regulations pertaining to wash bay operations, including proper disposal of waste water and chemicals.
  7. Exemplary Customer Service:
    • Consistently provide friendly, professional, and efficient service to all customers, whether in person or via telephone.
    • Actively listen to customer feedback and concerns, striving to resolve issues to their satisfaction and escalating complex matters when necessary.
    • Promote a positive and welcoming atmosphere, fostering strong customer relationships and encouraging repeat business.
    • Represent the company with integrity and a commitment to customer satisfaction in every interaction.

Minimum Requirements:

  • Grade 12 (Matric/High School Diploma): Essential educational qualification to ensure foundational literacy and numeracy skills.
  • Product Knowledge: A strong understanding of the products and services offered by the company is highly desirable. Candidates should either possess this knowledge or demonstrate a keen willingness and ability to rapidly acquire it. This includes understanding product specifications, applications, and basic inventory locations.
  • Physical Stamina: Ability to perform physically demanding tasks, including lifting, carrying, bending, and standing for extended periods.
  • Valid Driver’s License (Code 8/B): Preferred, as it may be required for vehicle maneuvering within the yard or for occasional deliveries/collections.
  • Safety Conscious: Demonstrated commitment to following safety protocols and maintaining a safe working environment for oneself and others.
  • Communication Skills: Clear and effective verbal communication skills to interact professionally with customers, suppliers, and team members.
  • Team Player: Ability to work collaboratively within a team environment to achieve common goals.
  • Attention to Detail: Meticulous approach to tasks, ensuring accuracy in order fulfillment, cleaning, and vehicle checks.
